For UK accountancy and bookkeeping firms
Before you hire another person, look at the work your team shouldn't have to keep doing manually. We find it, and we remove it.
Take the Work Diagnostic →30 minutes, no charge, no pitch. One process, an honest answer about what could be removed from it.
Most of the firms we speak to are in the same position. Client work is growing, the team is flat out, and the only lever on offer is another salary.
But look at where the week actually goes:
None of that needs professional judgement. All of it consumes the time of people you hired for their judgement.
Three examples of the sort of work we take off a firm. Not products, and not claims about your firm.
Every client on their own timetable. Requests go out in your firm's wording, escalate in tone, and stop the moment the records arrive. Your manager gets a short list of who is genuinely stuck and needs a phone call.
A daily check across client files for broken feeds, unreconciled items, duplicated payments and entries outside normal ranges. One short exception list each morning instead of finding it all at year end.
The numbers pulled, the pack built to the same layout every time, variances flagged, and the accountant writing the commentary rather than assembling the file.
A person still approves anything that matters. Judgement is not automated, and we will tell you when something should not be.
Efficiency Studio is a business efficiency consultancy, not an AI agency. AI is one of the tools we use, not the product.
Before this, two decades in maritime operations, as a ship's Chief Officer and then in marine compliance auditing, ISO 9001 lead auditor trained. That background shows up in how we work: a documented procedure, an evidence trail, clear approval points, and a bias towards fixing the process before automating anything. Processes we build are ISO 9001 aligned and audit ready. Only an accredited certification body can certify them, and we will never suggest otherwise.
Our method is Discover, Diagnose, Design, Implement, Optimise. We understand how the firm actually works, find where time and capacity are being lost, decide what should and should not be automated, build it, then keep improving it.
We ran this on our own operations first: monthly owner statements, booking to payment matching, bank reconciliation, compliance certificate tracking, enquiry handling and applicant referencing. Any time saving we quote from those is an estimate based on how the process runs, not a measured figure. We would rather say that than inflate it.
We're too small for this.
Three to twenty people is exactly where it pays, because nobody's job is to fix the process.
We already use Xero or Sage.
Good. The time goes on the gaps between systems, not inside them.
What about accuracy?
Nothing goes out without a person approving it, and anything the system cannot match confidently is escalated rather than guessed.
What about client confidentiality?
We work inside your systems and permissions, document what data moves where, and can keep client data out of any external AI model entirely.
I haven't got time for a project.
Then we start with one process, not a programme. The first piece of work is deliberately small.
Will AI replace my team's judgement?
No, and we would not take the work if that were the brief.
Book a free Efficiency Conversation. 30 minutes, phone or video, no charge and no obligation. Bring one process you already dislike. We will tell you what could realistically be removed from it, what should stay with a person, and roughly what it would take. If the answer is that you do not need us, we will say that too.
